ClickUp
One tool, every feature, and the learning curve that comes with it.
ClickUp is the maximalist option. Tasks, subtasks, docs, whiteboards, chat, time tracking, goals, sprints, forms, a mind-map view and about forty others, all in one workspace. If you have ever resented paying for Asana plus Notion plus Harvest plus Slack, ClickUp is the consolidation play, and the pricing makes the math obvious.
The free forever plan is extraordinary. Unlimited tasks, unlimited members, most views, real-time chat, and 100MB of storage. For a small team or a bootstrapped founder, you can run a real business on it. Unlimited at $7/seat and Business at $12/seat unlock the features most teams actually need: dashboards, timeline view, custom fields at depth, and goal tracking.
The cost is the learning curve. ClickUp has four hierarchy levels (space, folder, list, task), a dozen views per list, and about six places where you can hide a setting. New team members routinely feel overwhelmed in the first week. Budget a proper onboarding session, pick a small set of views to standardise on, and turn off features you do not need. Teams that try to use everything become slower, not faster.
Verdict: for 5 to 500 person teams that value features and value per seat over simplicity, ClickUp is the best in the category. Monday is friendlier on day one. Asana is cleaner. Notion is better for docs. ClickUp wins on the total bundle, provided you invest in the onboarding.
What works
- Most features per dollar in the whole category
- Free forever plan is genuinely usable for small teams
- Replaces docs, time tracking, chat, whiteboards and tasks in one
- Over 15 views per list (board, gantt, timeline, map, mind-map and more)
- AI add-on writes status updates and task summaries well
- Active product with meaningful updates almost monthly
Watch out for
- Feature sprawl makes the first week genuinely overwhelming
- Performance can lag on very large workspaces
- Some settings live in three places and it is not clear which wins
- AI is a $7/user add-on, not included

Who it is for.
A good fit if
- Teams of 5 to 500 that want one tool instead of five
- Bootstrapped startups on the free forever plan
- Agencies that need tasks, time tracking and docs in one place
- Power users who enjoy configuring their tools
- Teams that already tried Asana and hit its limits
Probably not for you if
- Teams that want to be productive in the first hour
- Software engineering teams deeply invested in Jira
- Visual-first marketing teams that love Monday
Getting it live.
Two weeks is honest. Teams that try to set up ClickUp in a weekend almost always come back and redo it.
- ◆ Decide on your space / folder / list structure before inviting people
- ◆ Import existing projects from Asana, Trello or spreadsheets
- ◆ Pick three templates and adapt them; ignore the other 97
- ◆ Turn off features your team will not use (there are many)
- ◆ Standardise on 3 views per list (do not offer all 15)
- ◆ Set up custom fields and statuses that match your workflow
- ◆ Build the five automations that save the most time
- ◆ Connect Slack, Google Drive and GitHub if relevant
- ◆ Run a 60-minute training with screen share, recorded
- ◆ Publish a one-page ClickUp cheat sheet for the team
- ◆ Set the first weekly ritual: status pulled from one dashboard
- ◆ Book a 30-day cleanup session to kill what nobody used
